# Workspace people

Source: https://docs.arcweave.com/workspaces/people
Section: Workspaces
Description: Invite and manage workspace members and guests, handle pending invitations and seats, and change member roles

The **People** section of your workspace is where you manage all users associated with it.

Access is permission-based:

- **View memberships** allows a role to see the **Members** and **Guests** tabs. The default Commenter, Editor, and Owner roles all include it.
- **Manage memberships** allows a role to invite members, change member roles, and manage guest access and pending invitations.
- **Delete memberships** shows the **Remove** action for members and guests. Removing them from the **People** section also requires **Manage memberships**.

Owners have all three permissions. Team workspaces can also grant them through [custom roles](https://docs.arcweave.com/workspaces/roles#add-new-roles).

Depending on your permissions, the section contains up to three tabs: **Members**, **Guests**, and **Invitations**.

## Members tab

Context: Arcweave docs > Workspaces > Workspace people > Members tab

The **Members** tab displays a table of all current workspace members, sorted by their join date.

![The People section of an Arcweave workspace, showing the Members tab.](https://docs.arcweave.com/assets/people-members.CMM_gLcx.png)

The Members tab has the following columns:

- **User**: Displays each member's name and email address.
- **Last active**: Displays when the member last opened a project, or **Never**.
- **Role**: Displays their current role in the workspace. Users with **Manage memberships** can change it from this column when the membership is eligible for a role change.

At the right side of each eligible row, a **three-dot (•••)** menu allows a user with **Delete memberships** to [remove a member](https://docs.arcweave.com/workspaces/people#remove-members). On your own row, the action is **Leave** instead of **Remove**, regardless of your role and permissions.

At the top right, the **Add Member** button allows users with **Manage memberships** to [invite new people](https://docs.arcweave.com/workspaces/people#add-members) and assign them available roles.

## Guests tab

Context: Arcweave docs > Workspaces > Workspace people > Guests tab

The **Guests** tab lists all [guests](https://docs.arcweave.com/workspaces/roles#workspace-guests) who have been invited to specific projects within the workspace.

![The People section of an Arcweave workspace, showing the Guests tab.](https://docs.arcweave.com/assets/people-guests.e-v37mc2.png)

> ✅ **Reminder:** Guests are users with access limited to specific projects. They are not workspace members.

This tab has the following columns:

- **User**: Displays each guest's name and email address.
- **Last active**: Displays when the guest last opened a project, or **Never**.
- **Access**: Displays how many projects the guest can access. Click it to see those projects.
- **Billable**: Indicates whether the guest counts toward your workspace billing. Guest **editors** are billable; **commenters** are not.

At the right side of each row, the available actions depend on your membership permissions. Users with **Manage memberships** or **Delete memberships**, respectively, can:

- See and edit a guest's access to the workspace projects.
- Remove the guest from the workspace.

> ℹ️ **Note:** To add guests, a user with **Manage memberships** must invite them from within the project they should have access to.

## Invitations tab

Context: Arcweave docs > Workspaces > Workspace people > Invitations tab

![The People section of an Arcweave workspace, showing the Invitations tab.](https://docs.arcweave.com/assets/people-invitations.C6Og3ZAS.png)

The **Invitations** tab is available to users with **Manage memberships** and shows pending invitations to join the workspace as members. Accepted invitations move to **Members**; declined or cancelled invitations are not listed here.

- The **User** column shows the invitee's email address.
- The **Status** column shows **Pending**, or **Expired** when a pending invitation has passed its expiry date.
- The **Role** column shows the role the invitee has been assigned.
- The final column provides options to **Resend** or **Cancel** the invitation.

This tab also includes an **Add Member** button for sending new invitations with predefined roles.

## Add members

Context: Arcweave docs > Workspaces > Workspace people > Add members

To add a user to a workspace, you must invite them and they must accept the invitation.

### Send invitations

Context: Arcweave docs > Workspaces > Workspace people > Add members > Send invitations

To send an invitation:

1. Go to the workspace's **People** section.
2. Click **Add Member**.
3. Enter the user's email address.
4. Select a role from the dropdown menu.
5. Review the seat and billing information shown in the dialog:
   - If a paid seat is already available, Arcweave shows how many seats remain.
   - If a new seat is required in a yearly workspace, eligible users can choose **Pay Yearly** or **Pay Monthly** under **Billing cycle**. See [Choose billing for an additional seat](https://docs.arcweave.com/workspaces/people#choose-billing-for-an-additional-seat).
   - Users with **Manage billing** or **Manage workspace** permission can review the next renewal date and amount, applicable discounts, and the estimated **Due today** amount for the selected cycle.
6. Click **Invite**.

Until it gets accepted, the invitation will appear in the **Invitations** tab of the workspace's **People** section.

> ℹ️ Sending an invitation does not create a charge. If an additional paid seat is needed when the invitation is accepted, Arcweave applies a **prorated charge** for the remainder of its billing period. The **Due today** estimate can change depending on the acceptance date.

> ✅ **Basic** workspaces can have an unlimited number of members and guests for free, but they remain subject to Basic project, item, export, and asset limits.

### Choose billing for an additional seat

Context: Arcweave docs > Workspaces > Workspace people > Add members > Choose billing for an additional seat

When inviting a member to a yearly **Pro** or **Team** workspace, you can choose **Pay Yearly** or **Pay Monthly** for the additional seat. **Pay Yearly** is selected initially. The choice appears only when no unused paid seats remain and you have **Manage billing** or **Manage workspace** permission, in addition to **Manage memberships** permission to send the invitation.

The options show the price per month per editor. The **Order summary** updates to show the selected cycle's next renewal, applicable discounts, and estimated **Due today** amount. Yearly seats are billed yearly even though the option displays their equivalent monthly price.

The selected cycle is saved with the invitation and applied when it is accepted, if a new paid seat is still needed. Existing seats keep their billing cycles, so monthly and yearly seats can coexist in the same workspace.

If an unused paid seat is available, the new member uses it without adding a seat or choosing a billing cycle. Invitations sent without a billing-cycle selection, including [guest-editor invitations](https://docs.arcweave.com/workspaces/roles#invite-guests), add a monthly seat when a new seat is needed. See [yearly workspace billing](https://docs.arcweave.com/workspaces/billing-plans#yearly-billed-workspaces) for renewal details and examples.

### Pending invitations

Context: Arcweave docs > Workspaces > Workspace people > Add members > Pending invitations

To manage pending invitations:

1. Open the **Invitations** tab under **People**.
2. Click the **•••** menu next to the invite.
3. Choose **Resend invite** or **Cancel invite**.

> ℹ️ To change a pending invitee's role, cancel the invitation and send a new one with the desired role.

## Change member Roles

Context: Arcweave docs > Workspaces > Workspace people > Change member Roles

To change a member's role, follow the next steps:

1. Go to the **People** section of your workspace.
2. Use the **Role** dropdown next to the member's name.
3. Select the new role.

> ℹ️ A workspace must always have at least one **Owner**. If you are the only Owner, you must assign another before changing your own role.

You need **Manage memberships** permission to change another member's role.

## Remove members

Context: Arcweave docs > Workspaces > Workspace people > Remove members

To remove a member:

1. Go to the **People** section.
2. Go to the **Members** tab.
3. Click the **three-dot (•••)** menu next to their name and select **Remove**.
4. Click **Remove** to confirm.

The user will be removed from the workspace. Their seat remains available for another member to be added, until the end of its billing cycle.

Projects that the removed member [owns](https://docs.arcweave.com/workspaces/roles#project-owner) and the API keys they created are transferred to the workspace's longest-standing remaining **Owner**.

You need **Delete memberships** and **Manage memberships** permissions to remove another member.

## Leave a workspace

Context: Arcweave docs > Workspaces > Workspace people > Leave a workspace

To leave a workspace yourself:

1. Go to **People > Members**.
2. Open the **three-dot (•••)** menu on your own row.
3. Select **Leave** and confirm.

You immediately lose access to the workspace. If you are the workspace's only **Owner**, you must assign another Owner before leaving.

## Add guests

Context: Arcweave docs > Workspaces > Workspace people > Add guests

Workspace guests are users invited to specific projects and their access is limited to those. They are not workspace members, so they cannot be invited from the **People** section of a workspace.

To add guests, a user with **Manage memberships** must [invite them](https://docs.arcweave.com/workspaces/roles#invite-guests) from within a specific project.

## Remove guests

Context: Arcweave docs > Workspaces > Workspace people > Remove guests

To remove a guest from the workspace:

1. Go to the **People** section.
2. Go to the **Guests** tab.
3. Click the **three-dot (•••)** menu next to their name and select **Remove**.
4. Click **Remove** to confirm. This removes the guest from all of the workspace's projects.

The user will be removed from the workspace. Their seat remains available for another member or guest to be added, until the end of its billing cycle.

You need **Delete memberships** and **Manage memberships** permissions to remove another guest from the **People** section. Guests can remove themselves from an individual project by selecting **Leave** for their own entry in that project's **Share** dialog.

## Edit guest access

Context: Arcweave docs > Workspaces > Workspace people > Edit guest access

To edit a guest's access to the workspace projects:

1. Go to the **People** section.
2. Go to the **Guests** tab.
3. Click the **three-dot (•••)** menu next to their name and select **See access**.
4. Edit the user's access to any project.
